Legal Secretary

Position Overview

Disability Rights Michigan (DRM) has an immediate full-time (37.5 hours per week) Legal Secretary position in the Lansing office.

Must be highly organized, detail oriented, and have the ability to work independently.  Candidates must be experienced with litigation including federal filings, electronic filing, and preparation and submission of briefs to appellate courts.   Duties will include typing and final preparation of correspondence, pleadings, motions, briefs, and other legal documents; organization and maintenance of files; accurately maintain calendar for attorneys; transcribe dictation and other routine support activities.

Must have at least five years of experience to support the work of the legal director and staff attorneys.  Completion of a high school diploma or equivalent plus successful completion of a legal secretary or paralegal program or equivalent education and experience. In addition, the candidate must have excellent skills in the use of MS Office, MS Word, Outlook, Excel, PowerPoint, and other relevant software.

WORKING ENVIRONMENT:

  1. Normal office environment with little discomfort or exposure due to unfavorable working conditions.
  2. Work may involve travel to various locations throughout the State with some exposure to adverse weather, traffic hazards, and the like.

 

 

Responsibilities

  • Type pleadings, motions, briefs, letters, correspondence, memoranda, reports, meeting minutes and other legal documents.
  • Proofreads prepared hearing and court memoranda, pleadings, and other related documents for correct legal style, format, grammar, spelling, punctuation, and completeness; corrects errors as necessary.
  • Assembles/prepares materials for cases in litigation, cases being prepared for litigation and training/presentations including court cover sheets, index pleadings, trial notebooks, trial exhibits, and the like.
  • Prepares legal materials and documents for mailing, distribution and filing as directed.
  • Maintains the library of legal reference materials and resources.
  • Creates and maintains team records and files assuring accuracy and completeness of information.
  • Enters data and case notes into the agency database and generates related reports as directed.
  • Creates, maintains and closes case files assuring accuracy and completeness of required documentation; forwards closed case files to supervisor for case auditing.
  • Provides clerical support to service team staff. Duties include, but are not limited to, processing staff time sheets and expense reports, ordering supplies, scheduling staff appointments, processing mail, copying materials, and coordinating office equipment repair requests.
  • Assists with special projects as directed.
  • Performs the duties of support staff as directed.
  • Attends staff meetings, training and in-service programs.
  • Covers receptionist switchboard as needed.

Qualifications

  • Completion of a high school diploma or equivalent plus successful completion of a legal secretary or paralegal program or equivalent education and experience.
  • Five years of related legal secretary or paralegal experience including office administration responsibilities and filing state and federal litigation preferred.
  • Notary Public certification may be required.
  • Demonstrated commitment to the civil rights of all people and the ability to work with individuals with a variety of disability characteristics and cultural backgrounds.
  • Ability to maintain confidential information.
  • Interpersonal skills necessary to work effectively and maintain communication with all levels of staff, clients, and others in the exchange of information. Demonstrated ability to clearly communicate to individuals with limited cognitive abilities and/or limited ability to speak English and appropriately respond to difficult situations is required.
  • Written, typing and computer skills necessary for the creation and compilation of various documents, communications, and reports.
  • Demonstrated ability to utilize the database and work with various computer software packages including Microsoft Office, Outlook E-mail, Internet Browsing, etc. is required.
  • Demonstrated ability to transcribe dictation.
  • Analytical ability and problem-solving skills necessary to conduct Internet research and other searches to gather requested information for staff.
  • Demonstrated ability to provide support to multiple individuals. The incumbent is also required to organize and prioritize multiple assignments.
  • Ability to work independently and as part of a team.
  • Working knowledge of office and legal practices/procedures.
  • Ability to adapt and respond to multiple priorities and demands and work on tasks requiring accuracy and attention to detail.
  • Physical ability to work at a desk for extended periods of time, properly operate required office equipment, and transport items weighing up to 25 pounds.
  • Successfully complete a background check.

Salary Range

$40,000-$44,000
Depending on experience.  Excellent benefit package.
